1.1. Documenos ® is a web-based business application suite written in C# and running on the DotNet Core 10 Framework.
1.2. Individuals/companies/organizations (Buyers) wishing to use Documenos ® can either download files and save them to their own servers or purchase a cloud service.
1.3. If buyers wish to secure their application with SSL for installation on their own servers, they must obtain their certificates separately.
1.4. Documenos ® does not require users to access the application via the Internet. The application is fully functional in an intranet environment. Buyers must decide whether the application they will install on their own servers will be accessible via the Internet and configure the settings accordingly.
1.5. For Documenos ®, the number of servers is a concept designed for failover. Whether a server has 1 CPU, 64 CPUs, or a certain amount of RAM makes no difference.
1.6. The number of users on the license refers to the maximum number of registered active users that can work simultaneously. For example, if you have a limit of 50 users, and you deactivate the account of an employee who left the company and add a new user in their place, even if your user list has 51 people, you won't have any problems because the number of active users is still 50.
1.7. A user account cannot be logged into two different sessions simultaneously. When a user with an open session on one computer logs in from another browser/computer/device, the previous session is automatically closed.
1.8. When using Documenos ®, you don't need any extra paid services for services like database server, search engine server, electronic signature server, voice-to-text or video-to-text converter, face detection and comparison from images, or OCR. All of these are available as open-source and free services.
1.9. For AI support within Documenos ®, you can download open-source models from the internet (such as HuggingFace) and install them on your own hardware along with LLama, which is also open-source and free, and then integrate them into Documenos ® for lifelong free use.
1.10. Your data is yours, and we have absolutely no interest in it. Documenos ® has no backdoor and is a product you can use with 100% confidence. We guarantee that we will never, under any circumstances, access or login to your servers located on Documenos ®, or view or perform any operations on the documents, information, or files you have created or saved on Documenos ®. If we need to access your servers for support purposes, you will need to provide us with a username and password.
2.1. After downloading, you will need to save the file to your server and provide your company and contact information for license registration the first time you run it.
2.2. To install Documenos ®, you need to enter the confirmation code sent to your email address.
2.3. After your Documenos ® license (free or paid version) is registered, automatic activation checks should be performed at irregular intervals (days, weeks, sometimes months).
2.4. Documenos ® will warn you if it cannot complete the activation check. If activation fails for a long time, some functions may be restricted until activation is successful.
4.1. Documenos ® can be licensed under three different models:
a) Free License
b) Standard License
c) Enterprise License
4.2. In the Standard and Enterprise models, Buyers can choose between annual subscription or lifetime perpetual for pricing.
4.3. Switching from low mode to high mode is always possible. For example, you can switch from standard mode to enterprise mode, or from subscription mode to perpetual mode. However, the mode cannot be downgraded. While in a given mode, the number of users can be reduced at the end of the subscription period.
4.4. If installation support is requested, a one-time installation fee must be paid.
4.5. If you request dedicated premium support staff, you will need to pay per month/person for the number of staff you request, covering the duration of our support contract.
4.6. Dedicated premium support may not be available for every country or city. You should request prior information on this matter.
5.1. The buyer can install the Documenos ® license on their own server (or cluster).
5.2. The buyer is responsible for obtaining their own backups to protect against physical hard drive or other system failures.
5.3. In case of any malfunction, loss, theft, etc., the buyer has the option of installing the license on different hardware and restoring database backups to ensure continued operation.
5.4. If the buyer does not have a backup, they have the right to install their license on a new server and restart operations with zero data using the "license transfer" method.
6.1 Companies/organizations using Documenos ® (regardless of the licensing model) have the right to upgrade to new versions as long as their licenses remain active.
6.2. To avoid being affected by potential problems, it is mandatory to back up the database before updating the version.
6.3. Documenos ® software uses silent and automatic update methods. Database tables and fields are updated automatically. For the update:
(1) A database backup is taken (just in case)
(2) The web server is stopped
(3) All code for the new version is saved to the web server
(4) The web server is started and work continues with the new version
6.4. Documenos ® operates with a monolithic architecture. Therefore, if you are working with multiple servers, it is recommended to update the servers simultaneously if possible:
(1) Back up the databases after shutting down all servers,
(2) Update the files on all servers,
(3) Turn on one of the servers and wait for the database migration to complete,
(4) If the server that has been turned on is functioning properly and allows you to log in to the application, you can turn on all other servers simultaneously.
6.5. If an update has been skipped, there's no need to perform intermediate updates sequentially. For example, if you're on version 1.1, you can skip 1.2 and 1.3 and update directly to version 1.4.
7.1 It is assumed that the Buyer, by using the free version of the application downloaded from documenos.com, finds the software to be fully suitable for their company/institution.
7.2. If the Buyer has completed the purchase, they acknowledge, declare, and undertake that a refund of the software license payment cannot be requested under any circumstances.
